AI Wine Club Management Software for Wineries

You worked hard to gain that club member. Don’t lose them because a message was missed.

The AI Winery Club Manager reads member emails and website forms, pulls up the member’s Commerce7 record, prepares the change or staff task, and drafts a reply in your winery’s voice. Your team reviews it and sends it.

Built by Clink, a Commerce7 Design Partner with 15 years of running and supporting wine clubs.

The first module of Winery Manager by Clink. More tools coming.

The AI Winery Club Manager is AI wine club management software for wineries, built to work alongside Commerce7. It reads wine club member emails and website form submissions, links each one to the member’s Commerce7 record, prepares the membership change or staff task, and drafts a reply in the winery’s voice for staff to review and send. It is the first module of Winery Manager, Clink’s dashboard for winery teams. It was built by Clink, a winery DTC strategy and technology partner with 15 years of experience running and supporting wine clubs.

How the AI Winery Club Manager works

From inbox to answered, with your team in charge.

Four steps, from the member’s email to a reply your team approves.

1. Requests become cases

  1. Member emails and form submissions become cases

Emails from your inbox, such as Gmail, and submissions from your website forms come into one place. Each conversation becomes a case, linked to the member’s Commerce7 customer record and club membership.

  2. AI identifies what the member is asking for

The AI reads the request and pulls out the details that matter, such as which way a delivery change goes or how long to hold a shipment.

  3. The Commerce7 change and reply are prepared

Any Commerce7 change is ready to apply, any manual steps are listed as tasks with instructions, and a reply is drafted in your winery’s voice.

  4. Staff review, approve and send

Your team checks the change, edits the reply if needed, approves it and sends it from the Club Manager or from Gmail.

Never a guess

If a request is unclear, like a hold with no end date, it drafts a reply asking the member instead of guessing. If the AI’s reading doesn’t match the member’s own words, it prepares no change and hands the case to a person.

Works with the tools you already use

Email

Any inbox your team uses, such as Gmail.

Website forms

Contact and club forms on your site, such as Gravity Forms.

Winery software

Commerce7, or the winery or ecommerce software that runs your club.

Fulfillment software

The wine fulfillment software that ships your club orders, such as WineCub.

Wine club requests it handles

The requests your club team sees every week.

Pickup and shipping changes, shipment holds, pauses, cancellations and member questions.

Switching a wine club membership between pickup and shipping

“Can I switch to pickup this time?”

The Club Manager prepares the delivery change in Commerce7 for your team to approve, and drafts the confirmation.

Holding a single wine club shipment

“Hold my next shipment until after Thanksgiving.”

It reads the date and prepares the hold, which goes ahead once your team approves it. Then it drafts the reply.

Pausing or holding a wine club membership

“Can I pause my membership for a few months?”

It reads the dates and prepares the club hold in Commerce7, which goes ahead once your team approves it. Then it drafts the reply.

Wine club cancellation requests

“I’d like to cancel.”

It alerts your team and drafts a kind “sorry to see you go” email, so approving the cancellation takes one click. Prefer to cancel by hand, or fully automatically? That’s your choice. Add the Club Cancellation Retention Flow to ask why and offer alternatives first.

Club shipment and account questions

“When does my next shipment go out?”

It routes the question to your team with a drafted answer based on your playbook.

Anything else that comes in is routed to the right person with a drafted reply.

AI with staff approval and winery rules

Powered by AI. Controlled by your team.

Your team approves the work, and your rules decide what runs on its own.

1. Your rules

Your rules

You choose which request types can be handled automatically and which always go to your staff.

Try it in shadow mode first

Before you switch a rule on, see exactly what the Club Manager would have done, without it doing anything. Build confidence at your own pace.

It learns your winery’s way

Your facts, policies and tone live in one playbook. The Club Manager also learns from the replies your team edits and sends, and suggests playbook updates when staff keep making the same change.

Member data handled with care

Personal details are removed from logs and saved examples. Email text and drafts are deleted after 90 days by default, and each winery can set its own period. Cancellation replies and emails with card details are never used as examples.

Built for wineries. Customized for your club. Powered by AI. Controlled by your team.

Wine club retention and growth

Keep the members you have. Make room for more.

Wine club cancellation handling

A cancellation doesn’t always have to be the end.

When a member asks to cancel by email or form, the Club Manager alerts your team and prepares a one-click approval, with a “sorry to see you go” email already drafted. You can also choose to cancel by hand, or let it run automatically. Your team sees the member’s Commerce7 record and the full conversation in one place, so they can understand why the member wants to leave and whether a hold, a skip or a different club would suit them better.

Add-on · Club Cancellation Retention Flow

Give members the right reason to stay.

It asks members why they’re leaving, then suggests the option that fits them best: a smaller club, a pause, a different club or a discount. It uses their Commerce7 notes and purchase history to remind them of the perks they actually use. Complaints go straight to a designated person.

Scaling wine club member service

Support more members with less admin.

In our experience, around 500 members is when club requests start to overwhelm one person. Around 1,000, wineries start thinking about another hire. The Club Manager helps a small team keep up as the club grows, so your staff spends less time searching and typing and more time on the members who need a personal touch.

AI Winery Club Manager FAQ

Questions wineries ask us.

The AI Winery Club Manager is AI wine club management software for wineries that use Commerce7. It reads member emails and form submissions, prepares the Commerce7 change or staff task, and drafts a reply that staff review and send.

Yes. Each member request is linked to the member’s Commerce7 customer record and club membership, and supported changes, such as switching between pickup and shipping or adding a customer note, are prepared in Commerce7 for staff to approve. Commerce7 is where most wineries start, and the Club Manager can also connect to other winery or ecommerce software.

No. The AI Winery Club Manager works alongside the winery or ecommerce software that runs your club, online store and tasting room sales, such as Commerce7. It reads member requests, prepares the changes in that software and drafts replies, and your team approves them.

Not unless the winery chooses. Staff review and approve replies by default. The winery decides which request types, if any, can run automatically, and can test each rule in shadow mode first.

Yes, and the winery decides how. By default, the AI Winery Club Manager alerts a person, offers one-click approval and drafts a “sorry to see you go” email. Wineries can instead handle every cancellation by hand, or let cancellations process automatically. The Club Cancellation Retention Flow add-on goes further: it asks members why they’re leaving and offers alternatives before they confirm.

Yes. The Club Manager reads the requested date and prepares the hold, which goes ahead once your team approves it. For a longer break, it can prepare a club hold in Commerce7 for the dates the member asks for.

Through a winery playbook and your team’s own replies. The playbook holds your facts, policies and tone, and the Club Manager learns from replies staff edit and send. Staff can pin good examples or exclude poor ones.

From your email inbox and your website forms. The Club Manager works with your email provider, such as Gmail, and your website form tool, such as Gravity Forms.

Personal details are removed from AI logs and from saved reply examples. Email text, reply drafts and AI output are deleted after 90 days by default (each winery can set its own period), and emails containing card details are never used as examples.

It’s designed for small and midsized wineries with growing clubs and limited staff. In our experience, club requests start to overwhelm one person at around 500 members, and larger club teams use it to keep service consistent as membership grows.

Yes. The AI Winery Club Manager is the first module of Winery Manager, Clink’s winery management software for DTC and wine club teams. More modules are on the way, and each one will sit alongside the Club Manager in the same dashboard.
